How the calculation works

Available capacity = people × hours per person × (1 - reserve / 100). Utilization = committed hours / available capacity × 100.

A calculation you can check.

Two people with 40 hours each and a 25% non-delivery reserve have 60 delivery hours. With 54 hours committed, utilization is 90% and six hours remain.

When to use this calculator

Use this team capacity calculator before accepting another project or assigning a start date. Choose one planning period and enter the hours actually available per person. Reserve time for meetings, internal work, travel, and administration. Committed hours should represent the remaining effort due in this same period, not the original estimate for every project in progress.

Assumptions and limits

This is an aggregate capacity model. Two people with different skills are not interchangeable, and a week with unused hours can still contain a bottleneck on one day. Check specialist availability and dependencies separately. If schedules vary significantly, calculate each group independently and add the available hours rather than entering an unrealistic average.

Is 100% utilization a good target?

It leaves no uncommitted delivery capacity after your reserve. Whether that is workable depends on uncertainty, rework, scheduling, and the accuracy of your estimates.

What belongs in the reserve?

Time unavailable for project delivery, such as administration, recurring meetings, internal training, and travel not included in project estimates.

Can I use monthly hours?

Yes. Use monthly hours per person and monthly committed hours. The model works with any consistent period.
